Privacy & data protection policy

How we look after the personal information you share with us. Last updated 21 October 2026.

1. Who we are

Empower Your Essence Ltd (“Empower Your Essence”, “we”, “us”) is a private company registered in Cyprus (registration number HE483968), with its registered office at Pavlou Liasidi 33, Livadia, 7060 Larnaca, Cyprus. We provide executive coaching, leadership development, team and organisational programmes, training, mentoring, public speaking development and wellbeing support to organisations and individuals, in person and online.

We are the data controller for the personal data described in this policy. You can contact us about anything in this policy by email or on WhatsApp.

2. The information we collect

We only collect what we need to respond to you and deliver our services:

  • Contact details such as your name, email address, phone number, job title and organisation, when you email us, message us on WhatsApp or book a consultation.
  • Booking details such as your chosen time and anything you tell us when booking through our online calendar.
  • Session information: notes we make during coaching, mentoring or training, and goals, reflections or assessments you share with us.
  • Sensitive information you choose to share, for example about your health or wellbeing. We only use this to support you, with your explicit consent, and we treat it with particular care.
  • Business and billing details for organisations and paying clients, such as invoicing contacts, payment records and agreements.
  • Technical data: when you visit our website, our hosting provider automatically records basic information such as your IP address and browser type, to keep the site secure and working.

Cookies: our website does not use advertising or analytics cookies, tracking pixels or similar technologies, which is why you don't see a cookie banner. Our fonts are stored on our own website, so loading a page doesn't send your details to font providers.

3. How we use your information, and why we're allowed to

  • To answer enquiries and arrange consultations: to take steps you have asked for before entering a contract, and our legitimate interest in responding to people who contact us.
  • To deliver coaching, training and programmes: to perform our contract with you or your organisation.
  • To handle sensitive information: your explicit consent, which you can withdraw at any time.
  • To invoice, keep accounts and meet legal duties: our legal obligations, for example under tax law.
  • To keep our website and systems secure: our legitimate interest in protecting our business and visitors.
  • To send occasional updates about our services: only if you have asked to receive them. You can opt out at any time.

We never sell your personal data, and we don't use it for profiling or automated decisions that affect you.

4. Who we share it with

We only share personal data where it's needed, with providers who protect it appropriately:

  • Service providers who help us run the business, such as our email and calendar provider (Google), WhatsApp (Meta), our website host (Netlify) and video-call platforms used for online sessions.
  • Professional advisers such as accountants, lawyers and insurers, where necessary.
  • Our specialist partners, for example Silverpen Careers or The Flying Acupuncturist, only when you have asked to be introduced to them.
  • Your organisation, if it is paying for your coaching: we share attendance and agreed, high-level progress information only. The content of your conversations stays confidential unless you agree otherwise.
  • Authorities, if the law requires it.

5. International transfers

Some of our providers are based in, or store data in, countries outside the European Economic Area, including the United States. Where this happens, we rely on recognised safeguards such as the EU–US Data Privacy Framework or the European Commission's Standard Contractual Clauses.

6. How long we keep it

  • Enquiries that don't lead to working together: up to 12 months.
  • Session notes and client records: for the length of our work together and up to 3 years afterwards, then securely deleted. You can ask us to delete them sooner.
  • Invoices and financial records: for as long as Cyprus tax and accounting law requires.

7. Confidentiality

Confidentiality is at the heart of our work. What you share in sessions stays between you and us. The only exceptions are where we believe there is a serious risk of harm to you or others, or where the law requires us to disclose information. Wherever possible, we would discuss this with you first.

8. Your rights

Under data protection law you have the right to:

  • access the personal data we hold about you;
  • ask us to correct or complete it;
  • ask us to delete it, or to restrict how we use it;
  • object to how we use it, including for marketing;
  • receive a copy in a portable format;
  • withdraw your consent at any time, where we rely on consent.

To use any of these rights, simply email us. We will respond within one month. If you're unhappy with how we've handled your data, you can complain to the Commissioner for Personal Data Protection in Cyprus (dataprotection.gov.cy) or to the data protection authority where you live. We'd appreciate the chance to put things right first.

9. Clients in the United States

We do not sell or share personal information for targeted advertising. Wherever you are based, you can ask to access, correct or delete your information using the contact details above, and we will honour your request.

10. Young people

We work with people of all ages. Where a client is under 18, we do so only with the consent of a parent or guardian (or, for programmes delivered through a school, the school), and we collect only what is needed.

11. Keeping your data secure

We use reputable, secure providers, protect our accounts and devices, and limit access to the people who need it. No system is completely secure, but we take care to protect your information and will tell you if a breach affects you where the law requires.

12. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
